Modify an Email Template


Custom Email Template Overview


Note: Email templates appear after apps are enabled. Not all apps have a corresponding email template.

Modify an App Email Template

  1. Log in to the Dashboard.
  2. Scroll down to and click the Company tab on the side menu, then click Email Templates.
  3. From the primary App Email Templates window, click on the template to be modified. Reminder: Apps or modules must be configured in the Apps tab before Email Templates will appear.
  4. The email editor opens.
  5. To modify a section of the email, hover over and click on the section to be modified in the Preview pane to the right. This opens the editable fields to the left of the Preview pane.
  6. Edit the default message to match the brand messaging or content that you would like delivered to customers after interacting with the associated app or module.
  7. Click the “Save” button at the bottom right of the page to save any changes to the default email.
Clicking Save or Cancel at the bottom right of the screen delivers you to the Inbox Details section.

Parts of the Email Template

Inbox Details



  1. Subject: Type the subject of the email. For example, "Your Best Price Now request from Argos Motors!"
    1. Insertion fields, such as {{companyName}} can not be used in this field.
    2. This field is limited to 78 characters.
  2. Preview Text: The preview text follows the subject line of an email. We recommend using a brief statement. For example, "Congratulations! Your vehicle is worth: {{bpnEstimateLow}} to {{bpnEstimateHigh}}!"
    1. Not all email service providers display preview text.
    2. Text may be truncated due to screen size.
    3. Insertion fields, such as {{companyName}} can be used in this field. 
    4. This field is limited to 130 characters.
  3. Reply-To Email: By default, the email address in the Reply-to field of Company Settings is used. To change the reply-to email address of the specific email template, simply enter the new email address in this field. This will not change the email address located in Company Settings or any other email templates. A monitored email account should be included to receive customer replies. 
Use a monitored email address in the Reply-To Email field to ensure customer replies are received.
Logo Details




  1. Show Header Image On/Off Toggle
    1. A green "On" switch indicates that the Header Image or Logo will be displayed at the top of the email.
    2. A white "Off" switch indicates that the Header Image or Logo will not be displayed at the top of the email.
  2. Uploading a logo
    1. Method 1: Using a mouse or trackpad, drag and drop an image from your computer into the image upload container. The initial image included on confirmation emails will match the Company Logo on the Company Settings screen.
    2. Method 2: Left-click on the image upload container or the blue “Choose File” button and select the image to be uploaded from the file explorer or Finder menu. The initial image included on confirmation emails will match the Company Logo on the Company Settings screen.
  3. Editing a logo
    1. The Crop your image screen appears immediately after uploading or inserting an image.
    2. Place your mouse pointer inside the crop box (blue outline) then click and hold.
    3. Drag the crop box using the crosshair to reposition and center your company logo.
    4. Adjust the size of the crop box by clicking on and holding one of the four sides of the crop box or by clicking and holding a blue node.
    5. Click the Save button once the logo is centered and appears per your standard(s).
    6. Click Save again on the Email Template screen to view the change.
  4. Removing a logo
    1. Method 1: Hover over the uploaded image in the upload container to reveal the trash can icon. Click to remove.
    2. Method 2: Left-click “Clear All” to the right of the “Choose File” button to remove the uploaded image(s).
  5. Replacing a logo
    1. Method 1: Using a mouse or trackpad, drag and drop a new or replacement image from your computer into the image upload container. Edit the new image per the steps in the Editing a logo section above, then save the changes.
    2. Method 2: Left-click on the image upload container or the “Choose File” button and select the image to be uploaded from the file explorer or Finder menu. Edit the new image per the steps in the Editing a logo section above, then save the changes.
  6. Logo Width
    1. Increase or decrease the width of the logo by pixels to customize the appearance of the logo in the header of the email template.
  7. Text Field
    1. Text can also appear in tandem with or in the place of a logo. Changes made to the logo appear in the Preview pane. Review the text formatting tools at the bottom of this page.
The logo uploaded in Company Settings is used by default.

Email Body Detail

  1. Text Field: Type the message that customers should receive when the email is delivered.
  2. Insert placeholder: Placeholder fields are used to hold the place of details generated by the corresponding module or app. Placeholders can be used for content, such as your company name, vehicle details, and trade-in estimates, customer details, and so much more! Placeholders are replaced with the corresponding data automatically when the email is sent to a customer.
  3. Format Tools: Format the email text to appear in an appealing manner.


Trade-In Estimate Section (Trade-In Analysis Module)

  1. This section imports the trade-in value range determined by the data input by the customer in the trade-in analysis module and can not be modified.

Appointment Date & Time Section (Appointment Scheduling Module)

  1. This section can not be modified as it contains the scheduled appointment date and time from the scheduling module.

Address & Map Section (Appointment Scheduling Module)

  1. The address can not be modified in the email template. The address is reflected in this email template corresponds to the address listed in the Appointment Address section of the scheduling module. To change the address, go to the scheduling module and click the "Use another address" link.
  2. The map is imported using Google Maps API and a pin displays the approximate location of the appointment address as it appears within Google’s database.

Offer Details Section (Incentives and Promotions Templates)

  1. This section can not be modified as it contains the offer or promotion claimed by the customer.

Application Information Section (Income/Cost Analysis Templates)

  1. This section imports the data input by the customer to return the pre-qualification decision and can not be modified.


Email Preview

Although a preview of your email is provided on the right side of the page, we recommend sending yourself a test email to view the email from the perspective of a customer.

To do so, click the “Send Test” button at the top right of the page. The email will be sent to the email address of the user who is currently logged in. The user's email address is displayed below the "Send Test" button and in the Edit Profile section of the platform.

Revert to default 

Users can restore the default messaging by clicking the “Revert to default” link above the text fields of each section. A pop-up message will appear and is required to confirm the change.
