Add / Edit CrewScheduler Assignments

In order to utilize the CrewScheduler, the first thing you'll need to do is add Assignment(s). You can think of an assignment as a work assignment. Do not think of them necessarily as 'Shifts', although there are certain instances where that would be appropriate (i.e., Night Shift, Day Shift, etc).

For the following example, we'll utilize a Fire Department scenario.

To add a new assignment:
You can either click the More options drop down menu > edit assignment button in the CrewScheduler here:




Or you can click on the CrewScheduling module > Assignments > Edit Assignments here:





This will open up a table that lists all of your current assignments (if any). From there you can click the Edit button, or the Delete button to affect those specific assignments.

We'll go ahead and click the green + Add Assignment button to open the following form:




You'll want to fill out all of the fields. In this case, we've named our assignment 'Test Engine'; Given it a start date, a start and end time (in this case, this assignment is round the clock - 24 hours), and indicated the minimum staffing for this assignment should be 3 people. There are various options as well, which you can hover over the blue (?) to see what those mean exactly. We set it to repeat every day since this is a 24/7 assignment. You can do other options here as well, like setting the background color of the assignment, and more. Lastly, be sure to click the green Save button. 

Note: It is very rare that you would set these assignments to anything other than repeat daily.


You will schedule your employees into these assignments on specific rotations (24/48, 4 - 10's, etc). But the assignment itself will normally remain as repeat daily. Unless of course, you have assignments that don't run on weekends, etc.


Recurrence Patterns:

You can set CrewScheduler assignments to repeat based on a set pattern. This is useful if your assignments operate on a set schedule, for example: Every Day (24/7), or M-F 8am - 5pm. By setting the assignments to recur / repeat, it allows you to more easily schedule your personnel on a set pattern. Many different types of rotations have already been pre-programmed into the system. Including such shifts as: 4/10's, 2-3-2/ 3-2-3, 2 on / 4 off, 1 on 2 off, and more common rotations like: Daily, Weekly, Monthly, M and F, Weekdays and more.

To see the recurrence options go back to CrewScheduling module > Assignments > Edit Assignments  Click on 'Edit...' next to the assignment you want to look at and click here: 



From there, a popup will occur that will allow you to set the recurrence pattern of the assignment to whatever you need:




As you can see, many options exist and there are many choices that have already been pre-built. In the unlikely event that your shift pattern is not already in the system, please contact us and we will add it in for you.


Note: There are various different recurrence rules built into the system. These are in place to accommodate most shift scheduling needs. If you are in need of a new recurrence rule for your organization that is not listed, please contact us.

Now you can navigate back to the CrewScheduler, where we now see the assignment has been added:


Note: If the assignment is not visible, you may need to click the View / Hide Assignments button in the upper right-hand corner and click this new assignment to show.



Arranging / Ordering Assignments:

You can also set the display order of the CrewScheduler assignments, by clicking and dragging the cross arrow icon and dropping in the order you want displayed.






Ending Assignments' Recurrences/Removing Assignments:

If you no longer have a need for an assignment to show on the CrewScheduler, but want to keep the record intact, you may wish to end its recurrence. Take a look at how to do that here



Deleting assignments

To delete an assignment in its entirety, click the red delete button beside an assignment's name. The system will prompt you for your password, to ensure the deletion is not accidental. 




Deleting an assignment is an irreversible action. Once an assignment is deleted, it cannot be recovered and ALL historical data associated with that assignment cannot be recovered. 




It is important not to have the term "Strike Team - " as any part of the name of an assignment. Doing so will cause the system to automatically create it as a deployment (to include changing the assignment color to red. Because the deployment did not originate from the Strike Team module, problems such as not being able to undo the deployment or otherwise edit it may arise.
