AccuCampus How to balance tutors workload for walk-in sessions?

INTRO

For walk-in sessions in AccuCampus, there are multiple ways to choose the staff that will meet the student (s), not only students can be provided with a list of staff so they can handpick but also system administrators can configure the Kiosks to automatically assign tutors depending on: workload, a cyclical selection from a list or fully random selections.
In this article, we describe the considerations that administrators can take into account these types of selection and how to translate the chosen option to the Kiosk configuration in the system.  


STEP BY STEP

1-Opting for the right tutor-selection method:

 
Depending on how many tutors a school has and how many sessions those tutors perform you would need to choose the best approach to balance all tutor's workload so some staff will not be getting too much work while some tutors hardly help any student. 
When creating a Sign-in Station/Kiosk by default the tutor selection is set to automatic, with this option students can see a list of tutors and then select from that list the one they would prefer. The good about this option is that students get to pick those tutors that they feel better working with, maybe because they have worked together in the past or because the tutor is known to be highly profilic in a certain course, however, this is also bad because those tutors that are less "known: or have less experience at tutoring receive less attention from the students and this brings an unbalanced in the workload for all the tutors that are available.

In order to solve this, we can avoid showing the list of tutors to the students and let AccuCampus make the selection based on:
-Balanced Random(This option makes AccuCampus randomly select any tutor available with the student at the time of the session).
-Balanced Cycle(This option makes AccuCampus go cyclically through the tutor's list one by one )
-Balanced Less Busy(With this option AccuCampus will select the tutor with less work to take over the session, this leads to a better overall workload).

2-In order to configure a Kiosk go to Center Visits-->SIgn-in Station:

Once in the Kiosks list edit a Kiosk by clicking on their name or click "Create New ":




3- Setting the tutor-selection method:

In the Kiosk Location section click on Edit:



 In the Staff-selection set the preferred method taking into account what we described in step 1.





4-What will the student see when you automatically assign tutors?

When students follow the selection type-in their ID and follow the selection-path(where they can pick services, courses, and such ) instead of choosing a tutor they see the tutors selected for them in the last step like this example shows:






This allows them to know whom they must meet next.
