Once your basic set-up is complete, you’ll need to create imports from your institution’s data silos, such as your SIS and LMS, containing the information you will want to be used for tracking. This includes a list of students, faculty, staff, services offered, courses offered, enrollment, etc. Below are our best practices for creating initial imports for set up. You can find additional information in AccuCampus by hovering over Advanced Options and selecting Imports.
In order to utilize AccuCampus to the fullest extent, you will need to import the following information at a minimum:
- Staff Roles
- Profile Answers
Depending on which aspects of AccuCampus your institution intends to use, you may also consider importing the following information versus manually building it by entity:
- User Groups
- Compass Categories
Each role that you create will create a new possible import. You will need to do individual imports for each role.
From the Main Sidebar click on Advanced Options.
Click on Import.
To learn what information is required for a given import prior to creating and uploading, click on View Documentation on the main import page.
Choose an import from the drop down menu to get more information.
An explanation of the import will be given along with required and optional headers for the CSV file. Once you’re ready, click Upload your Files at the bottom of the page. This will take you back to the main import page.
NOTE: Make sure to use the column headings listed in order for the import to work. An example .csv file is provided for each import which can be used as a starting point.
To upload an import, select one from the drop down menu.
Click Upload a File.
Once all users are uploaded, you can then upload profile items. You will follow the same steps as for the User imports. NOTE: Remember to use the unique keys that you created when you made your Profile Questionnaires.
Once all locations are created, you will need to import services and service location availability. These are two separate imports. You will follow the same steps as for User imports. NOTE: If a service will be offered at multiple locations, the service will need to be listed multiple times – each for a different location.
Next you will need to import courses. You will follow the same steps as for User imports.
Finally, you will need to import registration to courses. This involves multiple imports – one each for students, faculty and staff. You will follow the same steps as for User imports.
With the Engineerica Data Exchange Tool, you are able to set up automatic imports. This feature is useful for imports that will take place frequently – such as user imports, course registration imports, etc.
From the Main Sidebar, hover over Advanced Options.
Click on Import.
There are two ways to access the exchange tool. Th first is to click View Documentation, then Download Data Exchange Tool.
The second is to choose an import and then click Schedule this Import.
A pop-up box will appear. Click Download our import tool.
Open the downloaded file.
Choose AccuCampus from the drop down menu and click Next.
Enter the domain and your credentials. Click Next.
Choose the Import Type, File Path and add any Parameters. Click Next.
Click the dots to choose a file path for the batch file.
To create a scheduled task for the batch file, click Yes.
Enter a name for the task. Click OK.
Adjust the properties of the scheduled task.
Click OK. The import will run at the selected time.
Once the scheduled import has run, you can check Imports History to see if it was successful.
