How do I edit the location settings for a sign in station in AccuCampus?

This article will explain how to adjust the location settings for a specific sign-in station.

1. Log into AccuCampus. From the Main Sidebar click on Center Visits.




2. Click on Sign-in Stations.





3. Choose an existing sign-in station.  



NOTE: You can also edit these settings when creating the sign-in station by following the process below once a location is assigned.


4. Scroll down to Location Selection. Ciick Edit Settings next to the currently selected location or locations.





5. If desired, check the box next to Show location attendance summary at sign-out. This will show the student their attendance summary for that location when they sign-out. You may also choose the duration of that message.





6. Choose if students will be able to select a service when signing in.  The options are as follows:

Auto = allows students to choose a service from all services are associated with the location for which they are eligible
Disabled = students will not be allowed to choose a service when signing in
Allow Selecting None = student will be able to sign-in without selecting a service, even where services are offered
Allow Selecting Multiple = student will be able to select multiple services when signing in



NOTE: If you select Auto, service selection is enabled and you can also allow students to select multiple services or to continue the sign-in process without selecting any. If you enable service selection without allowing multiple or no selection and there is only one service scoped to your location, that service will be automatically selected for the student without them having to select anything and will appear on reports and session logs tied to this session. Service selection is most often utilized by student service areas such as advising or counseling, which need to know more specifically what students want help with which is not course-related. Note that if Auto is selected and no Services are available, the student will be unable to move forward in the sign-in process.



7. If desired, allow students to choose a course.



NOTE: If set to Auto, the student will select a course before moving on, unless they are only registered for one course, in which case it will automatically select that course for them. You can also allow students to continue without selecting any course. Course selection is most often utilized by Tutoring Centers and other related areas. Note that if Auto is selected and the student is not currently registered for any courses, they will be unable to move forward in the sign-in process.




8. If desired, allow students to choose from available staff. There are multiple options explained below.

NOTE: The Staff Selection section functions in several ways. First, if a staff member whose role is selected from the "Staff member roles" list signs into this location, they will be signed in as a staff member for timekeeping purposes (different from signing in from the login screen). If they also have a student role, they will be asked which role they would like to sign in under. If Staff Selection is enabled, any staff members who fall under the selected roles and is scoped to the service and/or course previously selected will appear as available (with appropriate restrictions, discussed in the steps below).



8a. The "Selection" drop-down menu options are as follows:

Auto (ask if multiple options): This will give students the option of selecting which tutor they wish to work with, if there is more than one available. If there is not more than one tutor available, that tutor will be automatically selected, as long as they have not exceeded their max number of students.
Balanced: Random: This randomly selects a staff member for a student based on the currently available staff members.
Balanced: Cycle: This selects a staff member for the student based on a cycle. Tutor A will be selected first, followed by Tutor B, then Tutor C, and then back to Tutor A again, as an example.
Balanced: Less Busy: This selects a staff member for the student based on which available staff member has the least number of students assigned to them.
Disabled: This disables staff selection altogether. Students can still be assigned to a staff member in the Wait Line (if enabled), or in the Session Log.
Note that for any of these selections except for "Disabled," at least one staff member will have to be available for the student to continue with the sign-in process.



8b. Display at allows you to choose whether staff selection will appear at Sign in or out. If it appears at sign out, the student will need to remember whom they worked with.



8c. Other selection options include:
Allow Selection None: allows the student to bypass tutor selection if they don't wish to choose one.
Show Scheduled Only: students will only see staff who in addition to falling under the selected roles and being available for the service and/or course selected earlier, are also scheduled to work at that particular time.
Remember selection for two weeks: if selected and any selection option except Disabled is also selected, then when the student returns to the station within the next two weeks the station will ask them if they would like to work with the same tutor again. If not, they can choose another tutor.
Show attendance summary at sign-out: shows a summary of the visit to student when they sign out





9. The Security section allows you to customize what happens when someone signs in with an unrecognized ID number. If neither box is selected, then users entering unknown numbers will simply be told they can't sign in. If only Accept Unknown Users is selected, then users with unknown numbers can be signed in, but no information about them will be collected and their Session Log will simply read, "Unknown User."



9a. If you want the unknown users to be turned into new users, select Create new users and choose a role from the drop-down menu.




10. Click OK.





11. Click either Save & Install Here or Save without Installing depending on whether you are installing the sign-in station now or later.
