Class Attendance

Within AccuCampus, you are able to track class attendance, which can provide valuable information about student success. AccuCampus offers multiple ways to track attendance, including a traditional roll call and various sign-in options.


Advanced Options > Attendance

Within this page, you are able to set global settings for attendance as well as location-based settings for it. The global settings are the default for the entire system. In order for a location to have settings different from the default, they must change the settings on their specific location by changing the scope. The ability to adjust these settings is based on your permissions.

From the Main Sidebar, hover over Advanced Options.


Click Settings.


Click Attendance.


Choose the Scope to edit settings for. The default is Account, which controls the global settings for all locations. To change the scope, click Change and select the Location you want to edit settings for. Make sure to click Set Scope once the location is selected.


General: controls settings regarding session logs, specifically if users are automatically signed out, what the default session log time will be, etc. These settings affect class attendance, center attendance and event attendance.

Set a time for a new log to be created if a user has not signed out. Session logs require a user to sign in and sign out to be created – this setting ensures that a log is created, even if the user doesn’t sign out.


Set the default time for the new log that is created if a user doesn’t sign out.


Select if session logs must start and end on the same date. This ensures that new logs created don’t straddle two days.


If desired, require users to sign out.


In order for a new log to be created based on the inactivity period set above, check automatically sign users out after the activity period.


If desired, automatically sign users out when they sign in to a different location. This ensures more accurate session logs.


If desired, limit users’ ability to edit session logs after a set time limit.


If desired, set a required duration for a session log to be valid. Any session logs that are shorter than the selected time will be marked as invalid and the data will not be tracked.


Courses:  allows you to set limits on how early or late an attendee can sign-in and still be counted as attending the course.

If desired, set a specific time limit for signing in and out. This allows attendees to be counted as signing in or out if they arrive early or stay late for the course.


If desired, set a required presence percentage for attendance to count. This means that a user must be present for a specific percentage of the course session for their attendance to count.


If desired, make these settings the default for all existing courses. This will overwrite any settings that were created at the course level.


Click Save.
 

Class Attendance: allows you to customize the available attendance statuses and identify which action will be tied to which status. To do so, click customize.


Currently available statuses will be listed. You are able to remove these statuses, give them weight and set the key value for them.


To add additional statuses, click Add other status.


Set selection rules for each status. This tells the system which attendance status to assign to the session based on when the user signs in or out.


If desired, apply the changes to all previous course attendance for a given term.


Click Save.



Course Attendance

In order to track course attendance, you must ensure that it is enabled on all courses you want to track. There are two ways to search for courses.

First Option

From the Main Sidebar, hover over General.


Click Courses.
 

Scroll through the list of courses to find the course you need or


Use the look-up glass to search for the course. 

Second Option

Use the search box at the top of the page to search for the user. To do so, type in the name of the course you want to see followed by in:events. This option is only available in the browser.


Click the course. Note: the course will be pulled for every term. Make sure you select the correct course for the correct term.


Scroll to the bottom of the page and click enabled. If desired, allow the system to automatically check sessions after saving – this will enable course attendance for all past and future sessions.


Click Save.



Sign-In Options

As with center attendance, there are multiple options for signing in/out for class attendance. For more information on how to set up the various sign-in options, see Module 4.

How to Sign-in (Kiosk)

Once a sign-in station is installed, users will be able to sign-in to the location either by swiping their ID cards through a card reader, or manually entering their ID numbers. 


 

How to Sign-In (Beacon)

Users can sign in to stations without having to log into a kiosk, this can be done directly from the AccuCampus app using beacons. For more information on how to set up beacons, see Module 6.

First open the AccuCampus app from your smartphone device. (Note: The app is available from both the Apple and Android app store) 


When you log in, you may be prompted to sign-in to any nearby sign-in stations.


If not, from the app home screen, left-hand side, tap on the tri-bar to expand side menu. Scroll down and tap on Sign-in Station.
    

Once you have selected Sign-in Station a list of available courses will appear. (Note: In the upper right corner there is a 10-minute time interval for signing into a station.) Select the course you wish to log into.


A pop-up will appear asking you to confirm sign in. 
     

To sign out, go back to the Sign-in Station page. A red arrow will now appear next to the course/station you are signed into. Tap on the course/station.           


A pop-up will appear asking you to confirm the sign-out. After you do, a message will appear confirming the sign-out was successful.



Roll Call

This feature allows a user to call roll for a course during the course session. Roll Call can be pulled up via a browser on any device.

From the Main Sidebar, hover over Class Attendance.


Click Roll Call.
 

Search for the specific date and course to record attendance for. Click Roll Call.
 

Click an attendance status to assign it to a student.


If desired, add attendance statuses in bulk by clicking Mark All As. Select an attendance status to assign to all students for the session.
 


If desired, clear attendance for the session. This allows you to start over if you make a mistake.
 

If desired, add notes for the student’s attendance log.




Attendance Sheet

This feature allows a user to view the attendance sheet for a specific course. You are also able to modify a student’s attendance if needed.

From the Main Sidebar, hover over Class Attendance.


Click Attendance Sheet.


Search for the course. Click View Attendance.

 
From this page, you are able to view the attendance sheet for the semester as of the day the sheet is pulled. 



Attendance Summary

This feature allows a user to view an attendance summary for a specific course or all courses. You are able to search by course, group, attendee or date range.

From the Main Sidebar, hover over Class Attendance.


Click Attendance Summary.
 

From this screen, you can filter by course, group and/or individual for a chosen date range.



Choose a specific date range.


Click View Attendance.


From the results page, you are able to view the specific attendance details for each class session.


Clicking on any of the attendance statuses shows the details of that specific class session. From this screen, you can edit the student's attendance for that session. This includes adding/editing swipe history, total time, and notes and changing attendance status. Click Save when finished editing.
