Step 5 – Review then launch your event



On the top of the ‘Events set-up’ page, there is a blue button ‘Click here to get an instant preview of your event’ 





Click on the button. Once you have clicked on the navigation bar you will be taken to a new preview page, illustrating what your customers would see.  


REVIEW YOUR PREVIEW TICKETING PAGE






Note:  On top of the page the viewing preview notification appears at the top of the page.  This is letting you know that your event is not live.

Continue to scroll down the page, you will see the buy ticket and events navigation bar, including ‘Event Details’, ‘Ticket Information’, ‘Getting There’, and ‘Organiser Information’. The tabs here are interactive and you can click on each to see the tab detail.

Prior to launching the page, you need to review the site both as an event manager and as a customer looking to purchase registrations to ensure everything functions as you expect. 

Begin by reviewing each element to ensure all the information is reflected correctly based on the customers' details:
  1. Ensure your header and logo are correct
  2. That the dates and location of the event in the header are correct
  3. That the ‘Buy tickets’ button appears
  4. Click on each tab on the navigation bar and make the information is correct
    1. Event datils
    2. Ticket information
    3. Getting there
    4. Organizer information
Once you have completed reviewing the page, click on the ‘Buy Tickets’ button.

REVIEW YOUR TICKET AND TICKET OPTION CONFIGURATIONS (FROM THE CUSTOMER PERSPECTIVE)


IMPORTANT:  When in preview mode and before you launch, your ticket page will always display ALL the ticket types you have created (do not be alarmed).  This will allow you to test the checkout flow for all ticket types, so you can ensure they are set up correctly.  Once you have launched your event, you will only see the ticket types relevant to the timeframe and the settings you have specified.

You are now viewing the ticket purchase flow that your customers will see. 




Invest the time now to ensure that ALL ticket types have been configured correctly at each stage of the customer checkout flow. The checkout flow has five steps in total:

  1. Ticket selection
  2. Ticket Option selection (if applicable, if the event has no options then this step will be hidden)
  3. Registration
  4. Payment
  5. Confirmation

When checking for accuracy, we recommend that you review the following details:

  1. Ticket spelling and grammar
  2. Ticket pricing
  3. Ticket limitations (e.g. min/max purchase quantities)
  4. Ticket Options spelling and grammar
  5. Ticket Option pricing
  6. Ticket Options are associated to the appropriate ticket(s)
  7. Ticket Option limitations (e.g. min/max quantities)
  8. Ticket has the appropriate registration form questions
To check each of these you will need to add tickets to your cart and proceed as if you were a customer. Since the event is still in draft mode, the payment step is disabled. Once you reach the payment step, you may simply close your internet browser window and repeat the process as needed.


TIP: Testing your ticket configuration for accuracy is important to ensure you have a smooth on-site experience. A small-time investment now while creating your event, can save you time spent problem-solving your configuration when the event is on.
Note: The person purchasing the tickets is not always the person/people attending the event. When going through the ticket checkout flow, by checking the ‘I’m not attending / I'm registering for someone else’ box it will allow the person purchasing the ticket to buy without registration.  

LAUNCH YOUR EVENT

Return to your ‘Events set-up’ page again.  Click ‘Start’ to commence the event launch process.
NOTE: If there are changes or corrections required, you can simply make them by clicking on the ‘edit’ navigation on the step that requires the edits/changes/updates. 






You will now be viewing the event launch final review screen where you are required to complete some final fields before launching your event:

URL
Type in your preferred sub-domain for your event URL. The link to your event will always follow this structure:


Type in your preferred URL, then click ‘Check’ to review whether it is available. If it is unavailable, you will need to try an alternative URL that is not already in use.

Google Analytics Tracking Code
If your business is set up on Google Analytics, you can track visitor behavior on your EventsPass ticketing page by placing your ‘UA Code’ (provided by your Google Analytics account) in this field.

Embed Code
If you want to embed your ticketing into your own website, copy and paste the code below into the appropriate page on your website. Please note that the registration form will only be active once you have launched your event.
Note: This code remains accessible after you have launched your event.

Tax ID
Please enter your Business Number (eg. UBI in the US, CRN in England, ABN in Australia, or NZBN in New Zealand).
Note: these details will appear on the invoices issued for this event and you must complete this field.

Registered Company Name
Please enter your registered company name. If you do not have a registered company, please enter your Full Name
Note: these details will appear on the invoices issued for this event and you must complete this field.



Proceed by scrolling down the page to the ‘Company Registered Address’ section and enter the address at which your company is registered.




Once completed, please review all the details you have input carefully. Once you are satisfied that everything is accurate, please launch your event by clicking ‘Save and Launch’.



Once launched the ‘Events Published’ page will appear.





On this page, you will be able to either navigate to the ‘View event dashboard’ or the ‘View live event’ page.
