Getting Started with Calley TEAMS Plan

Introduction to Calley Teams

This is a Quick Setup Guide to start AutoDialing using Calley TEAMS Plan.
Calley TEAMS Plan allows you to create a team and assign numbers to AutoDial from your Android and iOS phone. It is a perfect Call Centre Software for your Outbound Calling Teams. You, as admin, log in to the web-based secure panel to upload, distribute and manage data, while your agents can log in to the mobile app to call on the leads assigned to them. 

Note: As Team Admin or Team Leader, you will not be able to login to Calley Mobile App, while as an Agent doing calls, you will have access only to the Mobile App, not the Web Panel. 

What Can Calley Do?

You can do the following to Automate your Outbound Calling Workflow in a Calley TEAMS Plan.
  1. Create a Team of agents in your Web Panel who will call on behalf of your business.
  2. Create an account for a Team Leader and assign direct reporting of agents to the Team Leader. 
  3. Create a List and distribute leads to your calling agents. This list is created on the secure Web Panel using a CSV / XLS / XLSX file.
  4. Your agents can download and install the Calley Mobile App on their mobile phones (Android or iOS). 
  5. Agents can call the numbers automatically so that they can reach out to more leads at the same time.

What can Calley NOT Do?

Calley, since its inception, was created to help businesses automate their outbound and inbound calling processes. There are a few things that Calley can not do. 
  1. Send out Recorded Voice Messages to the numbers.
  2. Since the numbers are Dialled from the Mobile Phone, it can not dial multiple numbers simultaneously. 
  3. It will AutoDial the next call when the present call is Finished. 
  4. Calley is not a Predictive Call Dialer. 
  5. Calley can not mask your number as the calls are going thru the SIM Card of your phone.

What are the Different Calling Modes supported by Calley TEAMS Plan?

Calley TEAMS plan supports multiple calling modes, which are listed below.
  1. Power Mode - This mode allows you to call and save dispositions at the end of the call. It enables you to send Sms, WhatsApp messages, or Emails at the end of the call. If needed, you can schedule a call in the future (Android - Yes / iOS - Yes).
  2. Uninterrupted Mode - This mode is a call-only mode with no interruptions for saving dispositions. Continuous dialling allows you to auto-dial a massive list with no interruptions (Android - Yes / iOS - No).
  3. WhatsApp Only Mode - This mode enables you to send WhatsApp messages to a list right from the mobile app. It requires a WhatsApp account activated on the mobile phone (Android - Yes / iOS - Yes). 
  4. App Calling Mode - This mode enables you to call using apps like TextNow, Skype, Zoiper, 2ndline, PhoneBurner or Google Voice (Android - Yes / iOS - No).

Step-by-Step Guide for Setup of Calley Teams Account

Calley TEAMS is a paid subscription, and in case you have not subscribed to it you can do it by visiting https://www.getcalley.com/pricing/.

To start your outbound calling using Calley Autodialer, you will need a 
  1. A Mobile Phone - Android or iPhone to make calls. (Agents will need phones)  
  2. A Laptop / Desktop to manage lead data and reporting. (Team Admin / Team Leader will need these to access the reporting of the team)
  3. An Active Internet Connection. 
This guide assumes that you have already subscribed to the Calley TEAMS Free Trial or Calley TEAMS active subscription.


Calley Process on Computer

The process starts when you log in to your Calley Web Panel 
  1. To log in to your web panel, visit https://www.getcalley.com and click the Sign in Button in the top right corner. 



  2. You will be taken to a login page using your valid username and password.



  3. We recommend configuring the following items before making your first call to the Mobile App. 



    1. Email Templates (Optional) - You can create email templates here to be sent to the lead once the call is done. It is optional and can be configured later if needed. 
    2. SMS / Whatsapp Templates (Optional) - You can create an SMS or Whatsapp message template to share with the lead once a call is done. This is an optional functionality and can be configured later too. 
    3. Team (Required) - You must create a Team of agents and leaders to assign leads and call dispositions.
    4. Call Dispositions / Feedback (Required) - These call dispositions will be available as you finish your call. This required field helps you segregate your leads per your call conversation. 
    5. Call List (Required) - This is the list of leads you intend to call. It must be uploaded in the web panel before you head to the mobile app to make a call. 

  4. We proceed to Create a Team of calling agents and a team leader. You can create a team by visiting Top Link Bar > Team > Agents 



    1. Calling Agents - These agents call the assigned leads in the calling list. 
    2. Team Leader - Calley allows Team Admin to assign a Team leader to a group of calling agents so that the team leader from his panel can also see the direct reporting of these agents.  

  5. We create a Call Disposition / Feedback by visiting Top Link Bar > Feedbacks. 



    1. Connected - The call was connected, and there was a conversation with the lead. 
    2. Not Connected - The call failed to connect with the lead. 
    3. Not Interested - The call was connected, but the lead was not interested in the offering. 
    4. Lead - The call was connected, and the lead is interested in the offering. You can pursue it for a win/sale.

  6. We proceed to import a Call List. 



    There are two different ways you can import the leads into your panel. 
    1. Power Import - This allows you to simultaneously import as many as 100,000 leads in your panel. The list size is limited to 10000 records; hence the first 10000 leads are assigned to you immediately, while the rest are distributed thru an automatically scheduled assignment within 15-30 minutes.  
    2. Google Sheet Import - This allows you to create and connect a Google Sheet to your panel. As and when their new data is added to the Google Sheets, it gets automatically synced with the list.

  7. For the current guide, we proceed with the Power Import of leads by visiting the Top Link Bar > Call List > Add - Power Import. 



  8. On the Add List page, you must provide a Valid Name for your Calling List, select a CSV / XLS / XLSX file to load the leads and select agents to whom you want to assign these leads.  



  9. There is no set format for the import file (CSV / XLS / XLSX), but in the Power Import, we will need a minimum of 3 fields, i.e. Name, Number & Notes though you can add more fields and map them to the respective section on the fields mapping page. 



    1. Name - Name of the person you are calling (No Special Characters are allowed)
    2. Number - The number you are calling (only numbers are allowed along with + and -) 
    3. Notes - Reason why you are making this call which is shown to you when the call is initiated from the Mobile App (No Special Characters are allowed)

  10. On the fields mapping page, you can see a sample set of records loaded and select the fields you want them to be categorized or mapped into. 



  11. Select the respective fields and perform a final data import on your Calley Web Panel. Calley will automatically filter duplicates at the time of import and assign the leads to selected agents. 



  12. You will see the numbers uploaded on the list after the import. If you have imported more than 10000 records, they will be assigned in 15-30 minutes. 



  13. Your work in Calley Web Panel is done now. You can head to the Calley ACD Mobile App. 


Auto dialling using Calley TEAMS on Android Phone

If you do not have the app installed, you will need to download the app on your mobile phone (Android or iOS).
Only the calling agent can access a Mobile App in the Calley TEAMS subscription.
  1. Login to Mobile App using the same username and password that you used to create an agent.



  2. Upon login, you will be presented on a screen where you can choose to Skip & Go to Dashboard (Link to next step in the Auto Dialling Process)



  3. If you have installed the app for the first time, it will ask you to provide permissions and click on Get Started Now.



  4. You are now on the Main Dashboard on the mobile app, where you must click the "Start Calling Now" button. 



  5. It will show you the list you created in the Web Panel, and you can click on the arrow to download the same on the mobile app.



  6. You can now click on the "Start Calling" button.



  7. The app will prompt you to choose the calling mode and dial your first pending number. 



  8. Once the call is finished, the app will prompt you to a Post Call Feedback page with the following options. 





    1. Feedback - Here, you can select for Call Dispositions that you created in the Web Panel.
    2. SMS Template  - You can choose SMS Template if you wish to leave an SMS / Whatsapp message at the end of the call. 
    3. Email Template - You can choose an email template to email the lead at the end of the call.
    4. Reschedule Your Call - You can set up a schedule for calling the lead again; the app will remind you of the same.  
    5. Call Notes - You can put notes for the call done for future reference. 

  9. Once filled, you have three options at the bottom of the Post Call Feedback screen.



    1. Call Again - It will redial the same number for you. 
    2. Mark as DND - It will mark the number as DND in your panel, and the same will be filtered from future calls. 
    3. Next Call - It will save the notes you have filled in and dial the next call for you. 

  10. You can continue calling and updating notes for the list loaded. Calley ACD app will automatically take care of notes synced with the Web Panel so you can see reports in the panel too. 

Auto Dialling using Calley TEAMS on iPhone (iOS Phone)

If you do not have the app installed, you will need to download the app on your mobile phone (Android or iOS).
Only the calling agent can access a Mobile App in the Calley TEAMS subscription.
  1. Login to Mobile App using the same username and password that you used to create an agent.



  2. Upon login, you will be presented on a screen where you can choose to Skip & Go to Dashboard (Link to next step in the Auto Dialling Process)



  3. You are now on the Main Dashboard on the mobile app, where you need to click on the "Start Calling Now" button. 



  4. It will show you the list you created in the Web Panel, and you can click on the arrow to download the same on the mobile app.



  5. You can now click on the "Start Calling" button.

Understanding Reports in Calley Teams Plan

As the loading to numbers is finished on the laptop, you do not need the computer anymore (Not until you want to see reports).  You can now visit the mobile to start making calls. 
  1. Dashboard - This shows reporting for all the agents calling on the lists assigned for the last 1 hour.  It is a Real-Time Report. 



  2. Call Summary - This shows a summary report of calls done by an agent. The report offers a summary of calls done for two calendar days. The report is not real-time, and the data is updated every 30 minutes. 



  3. Call Details - This is the detailed report for the calls made by agents. 



  4. Raw Call Data - This is the Raw data the admin can download in XLS format or sync with Google Sheets. This can be used to generate external reporting as an admin. 



  5. Call List Details - This shows reports of data for the calls made by agents on the selected call list.
