Entering Previous Projects in Grant Holster


 

After you've entered your clients and funders, you will enter your Projects. If you are entering a project in which you (or your client) had previous funding, you will want to start with the earliest year of funding. (This way, you can use the Renew Project feature to copy the project to the next year(s) vs. entering the same project multiple times. This will also ensure that previous funding shows up on reports you run through Grant Holster.)


Example:  You (or the client) received funding from the ABC Foundation in 2017 and are applying again this year (2020). 

 

1.) Add Project - When adding the project, you will you use the information you have from the 2017 application, as shown below:

 

2.) Add/Edit Project Details such as Program to be Funded, Date Submitted, etc. by clicking the EDIT button on the bottom right:

 

IMPORTANT

To run the "Client Current Awards" Report in Grant Holster you must enter the award start and end dates. If those are blank, that report will not pick up those projects.

 

3.) Add the Actions associated with that project (Reports, meetings, LOI, webinar, etc.) using dates from the first project (in this case, 2017). See below:

 

4.) Add Final Touches - Upload any attachments, add notes and team info. if desired.

      
Note:  If you store your documents in a cloud (through Google or Microsoft OneDrive, etc.), then you don't need to upload the documents. You can simply copy the URL to the document and paste it into a note somewhere on the project. Do whichever is more comfortable to you.

BEFORE you click Renew Project

Double check your information ESPECIALLY these:

Status

Submitted Date

Amount Requested

Amount Awarded

Award Start/End Dates

 

The information entered here will be used to calculate data in the Reporting feature (available in Gold Subscription.)

If you mess up, don't worry! It can be changed.

5.) Renew Project 

When you click the renew project button, everything (including actions) is copied over to the next year and dates are moved 1 year forward. 

(In the example we used above, this means that everything shows 2018 now.) 

Double and triple check your dates and status before you click to renew again.

 

Renew the Project by clicking the button in the upper right screen. Continue to repeat this process until you are on the correct year for the project.


Default Statuses for Renewed Projects and Actions

When first entering a new project, the default status is PRELIMINARY.

When you renew a project, the default status is PRELIMINARY.

When you renew a project with Actions, the default status for those actions is SCHEDULED.


How to Edit or Delete Actions

Open the Project and scroll down to the actions.

Click on the little triangle to the far right of the action, then you'll see 3 little bitty dots - click those and then click edit or delete.

 

See a Project's Associated projects.

While in a project, you can scroll to the bottom of the page and see previous projects (projects that share a Funder and a Client).

Click on the Project Name to go to that Project.

 

Where are all the old Projects?

ALL Projects live in the Projects area. When you click Projects, this screen is going to show you all projects unless/until you filter them.
