How To Set Up Virtual Appointment?

The appointment feature with Growth99+ is available both as an in-person appointment or as a virtual appointment. The patient can opt for either of these options when booking an appointment, in addition, the business account user can also edit an existing appointment and change its nature from in-person to virtual or vice-versa. The Growth99+ application provides unique links for the doctor and the patient who can join the call from the patient portal, the access to which will be sent to the patient through an auto-generated email as soon as they book an appointment (regardless of the nature of appointment).

Some of the benefits of a virtual appointment are that patients can discuss their symptoms and receive feedback for the same without having to travel to the clinic, the virtual appointment is also very helpful when the appointment is mere of a consultation nature, or requires no physical examination or treatment. The provider can schedule such appointments conveniently even during transits or business travels.

The virtual appointment will not work if its a non-provider based appointment.

This article will discuss the 2 ways of setting up a virtual appointment.

In the first method, the appointment type is available as a choice option for the patient during the initial appointment booking.

If the patient selects the "Virtual" type, the appointment is booked as a Virtual one.

Now, let us assume a scenario where the patient books an appointment as "In-person" and is now requesting a virtual appointment instead. In the steps below, we will discuss how this can be done.

STEP 1

Access the admin panel of your business account by using your login credentials. Click on the sub-menu titled "Booking History" under the menu of "Appointments"

STEP 2

The booking history page as the name suggests is the record of the total appointments booked for the clinic. It shows the other details as well, such as the patient name, the service booked, the name of the provider as well as the status of the appointment.

The "blue pencil icon" at the right side of any appointment allows us to edit/modify the appointment. To change a pending appointment from in-person to virtual, we need to click on this icon against the desired appointment and click on edit. (CLICK HERE to know more about how to edit other details of a patient's appointment) Refer to the below image.

STEP 3

Inside the edit appointment page, we find there are multiple options to modify the appointment. We find that there is also an option available for selecting the type of appointment.
Select the option titled "Virtual" as the appointment type. Do not forget to click the "Save" button to confirm the change in the type of appointment.

STEP 4
After successfully saving the changes, when you return to the "Booking History" page, you will notice a small icon of a "video camera" under the action column for the appointment we just modified. Refer to the below image.

On the pre-decided date and timing of the appointment, the doctor/provider can access the virtual call by clicking on the video camera.

STEP 5

On doing so, the following page shows up on the doctor's screen. The doctor may join the virtual call by clicking on the "Start" button. The page will then ask permission to access the camera and microphone of the device, which must be given to proceed with the video call.

The patient may access the video call from the "Appointment" menu inside the patient portal. As mentioned earlier, whenever an appointment (in-person or virtual) is booked by an individual, they will receive an auto-generated email with the login credentials for the patient portal. The patient portal allows them to check the details of the appointment they have booked, make payments, sign consent, or submit any questionnaire that the provider may electronically assign them from the Growth99+ account.

It is advised to keep the video turned on during the consultation to establish better communication between the doctor and the patient.
