Capacity Drivers

Capacity Drivers projects the capacity on a monthly basis. There are 5 components including;

Total Hours

This calculates the employees available hours after public holidays but before other leave including annual, personal and long service. Overtime can also be included by ticking the box "Include Overtime". 

The # Working Days are automatically calculated based on a Mon-Fri working week and applies to all employees. You can modify the # working days if required.

The Public Holidays need to be manually entered.

Leave

You can schedule Annual Leave, Personal Leave and Other Leave on a monthly basis. The following snapshot relates to Annual Leave and we have provided the process steps below.



Step 1; Enter the annual leave per Employee. The boxes outlined in yellow indicate that the leave has been manually entered. If you use Xero, you can import the scheduled Annual Leave by clicking the Import Leave button at the top. Imported leave will appear with a black outline. You can only import the leave if you have previously imported the employees. Click here for more information on the Xero integration

Step 2; Total scheduled hours will appear at the top - currently reported as 401 for the year. There will also be unscheduled leave which is an allowance for leave that is yet to be scheduled. The % entered against "hours unscheduled" will apply the % to the employees total hours. It will only apply the % to those employees who do not have scheduled leave in the month. 

Step 3; Check the Annual Leave % v Target Annual Leave % (this has been highlighted in yellow). Scheduled annual leave is 7.85% of total hours which is slightly higher than the target 7.85% (based on 4 weeks/52 weeks). We could reduce the "Other %" to reduce this gap if required.

The Personal Leave & Other Leave calculations adopt the same logic. Click on the filter that currently says "Annual" to switch between the different leave categories. 

If you double click on the Annual Leave % (ie 7.85%), it will reveal a breakdown of the calculation.


Sell Rate

We will refer to the screenshot below when explaining the key feaures;



The Current column refers to the Employees Sell Rate that was entered under Capacity Summary. You can change the projected monthly values (eg rate increases) if needed which will then appear in Red.

If you change the Current rate above, it will update the value under Capacity Summary. 

Use the Copy All function to copy all of the Current Values to the next 12 months. 

If you have multiple divisions, you may need to enter the rates at the Divisional level. If the employee rate is the same for all Divisions, you can change the setup by unticking the following option under Capacity - Capacity Rates;



Productivity %

The functionality is similar to that referred to above. For example, in the screenshot below, Shelly Kearns has a current rate of 90% which differs to the monthly values (show in Red). 




Capacity $

We will refer to the screenshot below when explaining the key features;



If you hover over the monthly value, it will reveal the calculation.

There is a switch option at the top which allows you to view the Capacity $ or the Capacity Hours.

The Recovery % is based on the value entered under the Capacity Summary and the monthly value can be changed if needed. Remember to use the Copy Across (double click) feature to copy the value to future months.
