Diary preferences

A Supervisor can access the Diary preferences by selecting System preferences from the drop-down header pane and selecting HR from the feature list. The Modify preferences page is displayed:



The Diary section on this page contains the preferences for the Diary feature:


  • Display future diary entries for (days) — set the amount of days into the future the diary entries will be displayed. Note: the default value is 60 days, so for example, a diary entry that has a Start date that is 61 days after the current date will not be displayed on the Diary page


  • Delete old diary entries after (days) — set the amount of days into the past that the diary entries will be deleted after Note: the default value is 60 days, so for example, a diary entry that has a Start date that is 61 days before the current date will be deleted from the Diary page


  • Diary reminders active — with this enabled, a warning message will appear at the top of the Diary page if any diary entries are overdue or when a diary entry is due


  • Email diary reminders in advance (days) — set the number of days to send an email reminder before the Start date of a diary entry. Note: the Email reminder option needs to be enabled for a diary entry to send a reminder email


  • Delete entries after email has been sent — enable to delete the diary entry once an Email reminder has been sent


  • Sync with Outlook active — if enabled, allows all diary entries to be replicated in the Tasks section of the manager's Microsoft Outlook account. The manager can then deal with tasks in a manner which may be more familiar. Note: if the preference 'Complete when sync with Outlook' is not enabled, the manager will have to manually set the diary entries to complete on the Dairy page for any diary entries set to complete in Microsoft Outlook


  • Complete when sync with Outlook — if enabled, will set diary entries to complete in the Diary feature when they are set to complete using the Task section of the manager's Microsoft Outlook account
