Group absence profile

Overview


Employees are usually organised into Groups such as Departments, Sections, Cost centres, etc. in TMS. If you are the member of a Group you may be able to view the Absence profile for your Group. This has the same functionality as your individual Absence profile but shows the taken and planned absences for the entire Group.




Group absence profile


You can access the Group absence profile feature from the menu in the drop-down Header pane. It can also be accessed from the Menu and Shortcuts widgets which may be displayed on your Dashboard.


Your Group absence profile for the current year will be displayed in a calendar format. For example:




Note: the current year might not be the calendar year but may be your company's financial year or some other variant.


Group absence profile is shown in a table format in the main part of the screen with one row for each month and one cell for each day. Grouped absence will be displayed by default and depending on the preferences by your system administrator your Worked hour codes may be displayed. Worked hour codes are the same as they appear on your Absence profile and are only associated with you. Grouped absence displays the absences of the entire Group.


Note: your system administrator defines the Absence codes and Worked hour codes and so may be different from those displayed here.


Some blocks may have more than one absence. In the example above, the 12th April has multiple absences and a small scroll bar is displayed on the right-hand side to show you more information is available when clicked. For example:




This is similar to your Absence profile details. The only difference is absences are displayed as Group Absence and the detail includes the Employees name at the bottom of the Absence details.


Note: an optional preference for Leave slots can be set by your system administrator to appear on the Group absence profile.

Group absence options


As for your individual Absence profile, a number of options are available in the Group absence profile feature. A number of quick link buttons are available in the top-right corner. For example:



The icons are:

  • Date picker — a pop-up window will open, enter a date and click  Submit  to display the calendar with that date within the period
  • Colour key — opens the colour key for the current items in the calendar.
  • Navigational arrows — click the Previous or Next buttons to display your Group Absence profile for the previous or next period


The Layout options are similar to your individual Absence profile. There is an additional Layout option only available in the Group absence profile called 'Grid'. For example:




The Grid layout is over a period of a month with individual days in columns and the Absence profile for each Employee in the rows, with his or her name and Employee ID in the side header. Similar to the Absence profile, you can select individual days or multiple days for more details of the absences for each Employee.


Note: additional quick actions are available in the grid layout to adjust the column width and change what period of time the Group absence profile will cover.
