Single-Prompt Reports

In the tutorial on navigating reports, we ran a report simply by clicking on it. Most reports in BCA will prompt you to select a library or libraries before running. Others will go a step further and prompt you to set additional parameters to display the data you want.

Let’s practice running a single-prompt report.

From the BCA home screen, click Shared Reports then click the Collection Information folder. You’ll notice that each of the reports, like their report folders, has a description.
Folder and report descriptions are the key to finding the report you want.
Find the report titled Home Location – Count. According to the description, this report will prompt you to choose a library. It will then list an item count for each home location at that library, as well as a total count for the library collection. Click the report.

To select your library code, double-click it or highlight it and move it to the Selected box using the single-arrow button. If your library has branches, or you want to see data for a group of libraries, include those codes in the Selected box as well.

To remove a library from the Selected list, double-click it or highlight it and use the single-arrow button to move it back to the Available list.

To move all libraries to the Selected list or back, use the double-arrow buttons.

Once you’ve made your selections, click Run Report.

As promised, the results list an item count for each home location at the library or libraries selected, as well as a total count for the collection at the end.

Page-By Axis

Some reports provide data that can be grouped into more manageable subsets using the page-by axis feature. These subsets, referred to as pages in BCA, can be viewed one at a time, much like you can view individual sheets in an Excel workbook.

Let’s practice utilizing the page-by axis functionality.

Return to the Collection Information folder if you haven’t already.

Find the report titled Collection Value – Items with Null or $0 Price. According to the description, this report will prompt you to choose a library. It will then list items with a null price.  Notice the description says you can sort by item type from the page-by axis. Click the report.

Choose your library or libraries when prompted, then run the report.

In the top left corner of the report window, you’ll see the option to view results using the page-by axis of Item Type. If you don’t see the page-by option, select Page-by Axis from the Tools drop-down.

You can use the page-by drop-down to view data one item type at a time. 

Selecting Total from the drop-down will display all Item Types in one spreadsheet.
These reports are built for all MSC libraries, but when you select your library from the prompt, the drop-down contains only those item types your library uses, which is one way to see if any items are cataloged incorrectly in your library.
