Set Up Charter Boat Trips

With the Charter System, you can create trips on a recurring schedule for up to one year in the future. This makes it easy, for example, to run several boats multiple times a day with just a few clicks to setup potentially thousands of trips all at once.

Note: If you cannot find Charter in your Trips menu, you must turn the Charter System on in Office > Back Office Settings > Setup Options. On the same page, turn ON the Auto Sell Charter function. This will automatically close and sell a charter the day after it occurs. This saves you from having to manually sell each charter individually in order to move all deposits to income and close the trip.

To create a series of charter trips:

  • From POS go to Trips > Charter > Manager Charter.
  • Click CREATE NEW. Trip type will be listed as Charter and “Is this trip recurring?” will default to ON.
  • POS Button refers to the initial filter you see in POS when selling a charter
  • Fill in required fields like Description and Category, continuing to move down the page until you reach Start Date; choose a date.
  • Define the frequency and end date if applicable of the trips. If there are multiple outings on one day, each occurrence will have a start and end time
  • You will define the minimum deposit on this page as well as tax status and any popup notes. Base Options – what your customers will reserve – are defined in the next step. Click NEXT at the bottom of the page to proceed.
    • If you have "Show Minimum Deposit" off in Setup Options, you will not see a minimum deposit field, and all charters booked will be forced to pay for their options (plus tax) in full at the time of booking.
  • Create at least one Base Option with Retail price and number of available spaces.
  • When you’ve completed your options, you can click to complete and save or click to preview. The Preview step will allow you to make an edit and update ALL trips you are about to create. If you skip this step, further edits must be done individually.
  • When you are ready to finalize the charter setup, click Complete at the bottom of the preview page.
  • You now have a trip part with a unique part number and manifest for each occurrence.
