Create batch OCLC numbers for input to Connexion

Using a text file as input to Connexion Client to update or delete holdings from WorldCat after adding holdings/items or adding a record via Search Resources. Use either the manual method, copy and pasting OCLC numbers. Or use Analytics to create a list of OCLC numbers. 

Manual 

Create Input File for OCLC

Open Notepad or Notepad++ 
In Alma, click on the link for the bibliographic records to display the bibliographic record. 
Copy the OCLC number from the 035$a without prefix (numbers only). 
Paste number to the Notepad, precede the number by an asterisk *, for example: *25656 
In Notepad, enter to go to the following line. 
Copy and paste the next OCLC number. 
Save the Notepad document. 

Connexion Client 

From the top menu bar, click on Batch -> Holdings by OCLC Numbers -> Browse to the Notepad document. 
Click Import. 
Choose either Yes or No to “Do you want to delete your original file?” 
Click the Update Holdings radio button. 
Click OK. 
Holdings will update in WorldCat. 

Deleting OCLC Holdings

Repeat the above procedure for deleting holdings. Copy OCLC number from Alma BEFORE withdrawing the last item. In OCLC, choose Delete Holdings in the “Holdings by OCLC Numbers” in Connexion. 

Analytics

Open Analytics -> New -> Analysis -> Subject Area = Physical Items 

Report Query

Expand the Physical Item Details folder, choose Process Type -> filter the object by is not equal to Acquisition. 
Expand the Item Creation Date folder, choose Item Creation Date -> filter the object by is greater than or between (depending on the last time report ran). 
Expand the Location folder, choose Location Name -> filter the object by is not equal, and exclude the following locations: Borrowing Resource Sharing Requests and Lending Resource Sharing Requests. Also exclude periodical locations, any other locations containing OCLC records that need holdings attached in WorldCat. 
Expand the Bibliographic Details folder, choose Title.  In addition, choose OCLC Control Number (035a). 
Click over to the Results tab to see the output. 
From the Results tab, download the results to Excel. 

Create Input File for OCLC

Creating an input file for OCLC Connexion to add holdings in batch 
From the excel document, copy the OCLC number column to Notepad++. 
In Notepad++, delete the header row.  
Ctrl + H to open the replace function. 
Click the Regular Expression box. 
In the ‘Find What’ box, enter ^. 
In the Replace box, enter *. 
Click Replace all.
Save the document.

Connexion Client 

From the top menu bar, click on Batch -> Holdings by OCLC Numbers -> Browse to the Notepad document. 
Click Import. 
Choose either Yes or No to “Do you want to delete your original file?” 
Click the Update Holdings radio button. 
Click OK. 
Holdings will update in WorldCat. 

Analytics to delete holdings

Open Analytics -> New -> Analysis -> Subject Area = Physical Items 

Expand the Physical Item Details folder, choose Lifecycle -> filter by Deleted. 
Expand the Item Modification Date folder, choose Item Modification Date -> filter by greater than or between date (depending on last time the report ran). 
Expand the Location folder, choose Location Name -> filter is not equal to, and exclude the following locations: Borrowing Resource Sharing Requests and Lending Resource Sharing Requests, also exclude periodical locations. 
Expand the Bibliographic Details folder, choose Title. In addition, choose OCLC Control Number (035a). 
Note: OCLC numbers are not indexed in Analytics before 2020.  

Retrieve OCLC numbers for bibliographic records prior to 2020

Add Network ID four times.   
Click on the gear icon next to the Network ID. 
Choose Edit formula. 
Copy this formula: Evaluate('regexp_substr(%1,''(\(?[oO0][cC]\w+\)?\W?\d+)'', 1,1)',"Bibliographic Details"."Network Number") 
Paste into the Column Formula area, replacing “Bibliographic Details.”Network Id.” 
In the same window, click on Custom Headings, change the Column Heading to something that makes sense to you. 
OCLC numbers do not always appear in the first 035 to retrieve further OCLC, paste the formula into the next Network Id field. Evaluate('regexp_substr(%1,''(\(?[oO0][cC]\w+\)?\W?\d+)'', 1,2)',"Bibliographic Details"."Network Number"). Change the second 1 to 2, next field 3 and so on. 
Click over to the Results tab to see the output. 
From the Results tab, download the results to Excel. 

Create Input File

In Excel, copy the OCLC number column to Notepad++ 
In Notepad++, delete the header row.  
Ctrl + H to open the replace function. 
Click the Regular Expression box. 
In the Find What box, enter ^. 
In the Replace box, enter *. 
Click Replace all. 
Save the document. 

Connexion Client. 

From the top menu bar, click on Batch -> Holdings by OCLC Numbers -> Browse to the Notepad document. 
Click Import. 
Choose either Yes or No to “Do you want to delete your original file?” 
Click the Delete Holdings radio button. 
Click OK. 
Holdings will be removed from WorldCat.
