Importing Bibliographic Records from CatExpress to Alma

The process to import bibliographic to Alma's Network Zone using OCLC CatExpress. Bibliographic records match records in the Network Zone.

1. Cataloging in CatExpress

a. Retrieve the bibliographic record in CatExpress.

Click on the Express tab.
Enter a search term in the Search for box, selecting the appropriate search index (Standard Number, Keywords, or Title Phrase)
Check the 'Apply Language of Cataloging limiter' to English.
Click on the title to add holding information.

b. Entering holding information

Click the Edit Record button.
Enter item information in the location (852) area.
      Sublocation ($b) = three letter library code
      Shelving location ($c) = location code
      Barcode ($p) = barcode of the item

With CatExpress, you have the opportunity to add note fields 521, 520, 500, or 590. No other fields can be edited using CatExpress.

c. Adding holdings and exporting bibliographic records.

Click on Save to Catalog to add the library's holdings to OCLC.
Click on the Export Only button.
Repeat for every item to be cataloged.

d. Export and download the MARC records to the PC.

From Other Options, choose Download Export Files.

2. Import bibliographic records into Alma

From the Resources menu, choose Import -> Import.
From the list of Import Profiles, click on the ellipses for the CatExpress Book Import Profile and choose Run.
From the Import Profile, click on Select File.
Click on the folder icon to browse the bibliographic import file on the computer. Click here to see how to set-up the export folder
Enter a label name.
Click the Add button.
From the import screen, click the Submit button.

The Monitor and View Import page opens. Click refresh to see the progress until completion of the import.

Once the import completes, the File Processed column turns green, changing to 100%. Click on the ellipses and choose Report to see how bibliographic records were imported and any errors during the import process.
Reports display information on the total number of records processed matches the Network Zone, holdings, and items created with the import.
