Procedure Code Tools

Admin Security permissions are required to use Procedure Code Tools. Use caution if you do not understand what you are doing. You can make changes that cannot be reversed.

Accessing Procedure Code Tools

To access Procedure Code Tools, first access Procedure Codes one of three ways;
  1. Main Menu > Lists > Procedure Codes
  2. Ctrl+Shift+F.
  3. Chart Module > Procedure List

Then, look in the lower-left corner of the Procedure Code dialog to find Procedure Code Tools. 



Import/Export Procedure Codes 

The procedure codes can be exported to XML formatted file and can be imported.

The Procedure tools Refer to the following choices, which will open upon clicking Tools:


T Codes

T Codes are (T)emp Codes that are used in the trial version. Procedure Code Tools are used to remove them when you upgrade to the full version.

N Codes

N Codes are (N)o Fee Codes. Procedure Code Tools are used to add missing N Codes.

D Codes

D Codes are standard ADA CDT Codes that are updated each calendar year. Running the Procedure Code Tools will:
  1. Leave ADA CDT Codes that are no longer in use in their existing categories.
  2. Move deleted ADA CDT Codes to the Obsolete category. 
  3. Add missing ADA CDT Codes.
  4. Add abbreviations for ADA CDT Codes if the abbreviation is blank.
  5. Set ADA CDT Code descriptions to defaults.

Autocodes

Running Procedure Code Tools for Autocodes deletes all current Auto Codes and resets Auto Codes to default. Any Procedure buttons associated with deleted Auto Codes will be disassociated. 

Procedure Buttons

Running Procedure Code Tools for Procedure Buttons deletes all current Procedure Buttons and then resets Procedure Buttons to default. 

Appt Procs Quick Add

Running Procedure Code Tools for Appt Procs Quick Add deletes the Quick Add procedures in the Edit Appointment Window and resets them to default.

Recall Types

Running the Procedure Code Tools for Recall Types resets all Recall Types and their triggers to default settings. Any triggers using T Codes will be replaced with D Codes.

When to Run Procedure Code Tools

To update to the latest ADA CDT Codes each year.


Select only the D Codes box and click Run Now.

New codes are typically released near the end of December and cannot be used until January. If running Procedure Code Tools prior to January 1, you will receive the following error:
Updating D Codes at this time could result in acquiring codes which are not valid until 01/01/[following year]. Using these codes could cause claims to be rejected, continue?
This simply means that you can select No to cancel or Yes to continue. A Yes response may result in claim denials if using new codes before they become active. 

After upgrading from the trial version to the full version. 

The trial version comes with T Codes that must be replaced with D Codes. 
Select all boxes and click Run Now. This will reset to defaults, remove T Codes, and add D Codes and N Codes.

To reset Autocodes, Procedure Buttons, Appr Procs Quick Add procedures, and Recall Types to default settings.

Select desired boxes and click Run Now.
