How to Prevent users from viewing cost, over-riding prices and sending orders

Summary

Solatech Focus allows an Account Administrator (AA) to prevent users from viewing cost information for Quotes, Sales and Orders and prevent users from over-riding item pricing. An AA may also prevent users from sending orders to the vendor. This knowledge base describes how to setup these restrictions. 

Note: A Site Administrator (SA) may also enable these restrictions for individual accounts. 

Instructions

  1. While logged in as an AA, click on Admin from the upper navigational bar
  2. In the section Quotes, Sales and Orders, place a check mark next to the items you wish to restrict 
  3. Click Update to save your changes



Note: Account Administrators will always be able to view costs; over-ride item pricing and send orders to the vendor. 

Explanation of security features


Only Account Administrators can view cost

When this security feature has been applied, Sales Reps will be unable to see the following items
  1. MSRP, Cost and margins in the More section on the Order Entry screen



  2. Cost and Profit in the Order Total section on the Quote, Sale and Order Review pages. 

  3. Costs in the PO section of orders, or on the PO Review screen


Only Account Administrators can override price

  1. The Item Price section in Order Entry will be View Only.. This section will be visible, but cannot be modified by the user



  2. The Edit Price button on the Quote and Sale Review Pages will also display an Item Price section that is View Only and cannot be edited



Note: If both Only Account Administrators can view cost and Only Account Administrators can override price are selected, all of the restrictions described above will apply. 

Only Account Administrators can send orders

When this box is selected, the user will not be able to view the Order Now button in the sales listing or on the Sale Review page.
