ARTICLE: Loading Student Data Manually

We are able to automatically pull in data from most major Student Information Systems. Please contact us for details.

Download the Data Template

  1. Navigate to Data Management > Import Data .
  2. Click Download Data Importer Template File on the left.


Data Entry

Do not change any of the headings in the .csv file. It will cause the data load to fail.

BOARDER PK
If you are using an external database, you can enter the student's primary key here for easier mapping. If you are not using a database, you still MUST enter a unique identifier for the boarder here.

FIRST NAME
Enter the student's first name as it should appear in the portal.
C
LAST NAME
Enter the student's last name as it should appear in the portal.
D
PREFERRED NAME
You can assign a preferred name that replaces or appears beside the student's name in the portal.

ADDRESS 1
Enter the first line of the student's home address.
F
ADDRESS 2
Enter the second line of the student's home address.

SUBURB
Enter the town or suburb of the student's home address.
H
STATE
Enter the state or province of the student's home address.

POSTCODE/ZIP
Enter the postcode or zip code of the student's home address.

Enter the country of the student's home address.

Enter the student's home phone number.

Enter the student's work phone number.

Enter the year or grade the student is in. Refer to System Configuration > Lookups for the list of years and grades already built into your portal.  If you enter a year or grade that is not listed, REACH will automatically create it for you.

Enter the dorm the student is in. Refer to System Configuration > Lookups for the list of dorms already built into your portal.  If you enter a dorm that is not listed, REACH will automatically create it for you.

ROOM NUMBER
Enter the student's room number.

GROUPS
Enter any groups the student is part of; separated by commas. Refer to System Configuration > Groups for the list of groups already built into your portal.  If you enter a group that is not listed, REACH will automatically create it for you.
U
CONTACT PK
If you are using an external database, you can enter the parent or guardian's primary key here for easier mapping. If you are not using a database, you still MUST enter a unique identifier for the contact here.

RELATIONSHIP
Enter the contact's relationship to the boarder.  You can enter any string into this field.
W
FIRST NAME
Enter the contact's first name as it should appear in the portal.

LAST NAME
Enter the contact's last name as it should appear in the portal.

Enter the first line of the contact's home address.
Z
ADDRESS 2
Enter the second line of the contact's home address.

Enter the username that the student will use to log into the portal.

Enter the password that the student will use to log into the portal. You can leave this field blank and send a Welcome Wizard Email to allow the student to set their password themselves.

CONTACT USERNAME
Enter the username that the contact will use to log into the portal. Leave this field blank if you do not want this contact to be able to log into your portal.
AL
CONTACT PASSWORD
Enter the password that the contact will use to log into the portal. Leave this field blank if you do not want this contact to be able to log into your portal.

If multiple contacts need to be associated to a boarder, duplicate ALL boarder details to a new line and ONLY change the contact details from column U to AH

Uploading Data

Do NOT send sensitive data to us via email
You can upload your data to your REACH portal in one of two ways:
  1. Upload your spreadsheet at  securedrop.reach.cloud  and we will load your data for you.
  2. You can also upload your data yourself by navigating to Data Management > Import Data and follow the on-screen instructions.
