Predetermined shift: Activation, use and configuration

The creation of predefined shifts is a tool for creating appointed schedules for a specific position.
Using them will save you time when creating your schedules.
CAUTION: If you modify a predetermined shift in the Predetermined Shifts Manager and have already used it on the schedule beforehand, this does not modify the predetermined shifts that are already on the schedule.
In other words, changing the original predetermined shift does not change what has already been planned.

Activate the use of Predetermined shift

  1. Click on your name top right,
  2. Check Use Schedule Alias,
  3. Click on Validate.
If you don't see the preset shifts after that: log out and log in again.

Access your Predetermined Shift

  1. Click on any shift when viewing your schedules,
  2. Go to the Predetermined Shift Manager menu.
    OU
  3. Click on Schedules,
  4. Choose the Predetermined shift manager.

Add, modify or delete the predetermined shifts manager

  • Click on  Add, top right, to create a new Predetermined shift,
  • Use  if you want to modify the parameters of an already existing predetermined shift,
  • Use  if you want to delete a predetermined shift.


Configuration 

General Tab

Predetermined shift Name
  • The wording of your predetermined shift will be displayed in the drop-down menu of the predetermined shifts
  • Use short and precise abbreviations
Type of shift
  • This is the type of shift that will be applied to your schedule.
  • The choices available are similar to those of a normal shift (work, stat. holiday, vacation, unpaid leave, etc.)
Users who can use this Predetermined Shift
  • Click on + to display the access rights menu
  • Only the people you added in this section can use this alias
  • You can also give access to several predetermined shifts to a user
    (see section: Modify access for a user)
The predetermined shift is active
  1. Select or deselect the box to remove the display of this Predetermined Shift in the drop-down menu of predetermined shifts in your shifts.
Selection of the associated position
  1. Select the Service / Department, then the position to which your alias will be associated
    Not mandatory if you want this predetermined shift not to be specific to a position, leave this field blank.
Meal configuration
  1. Choose the start of the meal, the duration of it and if it will be paid
Break configuration
  1. Configure the start time for breaks if they are offered
Schedule Note
  1. Allows you to add a note that will only be visible to responsible staff
Color configuration
  • If you wish, you can configure the background color that will be associated 
    with this alias on your schedules.
GPS Zones

It allows us to define the perimeter in which the employee can punch.
To activate this option, please submit a ticket to us.
For more information about GPS Zones, click here. You can associate several GPS Zones with a predetermined shift.

Tasks and Functions

The information entered will appear on the employee's schedule and on your schedule planner, if you enter specific times.
Click on to add a specific time range for a task. 

WorkShifts Premiums tab

The Work shifts premium is an occasional bonus that applies to a shift. 
To activate this tool, please submit a ticket.
Enter the list of managers who should have access to it on the ticket.

Only Administrators can access it since it is monetary information.

You can associate several Work shifts premium with a predetermined shift.


Modify access for a user

Here is how to modify or add access to the predetermined shifts without going through the configuration menu: 
  1. Click on Schedules, then Predetermined Shifts Manager.
  2. At the bottom of the screen, click on  which will open the Modify access rights to a user
  3. Choose from the drop-down menu, the manager to modify,
  4. Check the « Access Granted» box corresponding to the existing defined quarter,
  5.  Click Save.
