Running a live "event" in Zoom (non-class meeting)

This article lists the recommended settings during live events in Zoom that are NOT class meetings. Faculty should not use these settings for class meetings in Zoom. Faculty who would like to use Zoom for class meetings should refer to

Start your meeting

Control the Recording

Automatic recording will begin when you start the meeting. This button is located in the upper left-hand corner of the Zoom window. You cause choose to:
  1. Let Zoom keep recording during setup (easiest).
  2. Pause recording and resume resuming when the event starts.
  3. Stop recording and start recording when the event starts. (Not recommended).

Click the pause button (two vertical lines) to pause the recording 

Set-up

Admit the co-hosts and guest speakers from the waiting room


Click the Participants button to display the Participants panel


Use the Admit button to admit only the co-hosts and guest speakers from the Waiting Room.


Hover over the names of the co-hosts and guest speakers, click More, and select Make co-host. This allows them to share their screen and unmute themselves.

Set the Desired Participant Options


Click the menu button (...) to display the Participants options.



Below are suggested Participants options for either a Casual event or a Webinar-style event.

Set the Desired Chat Options


Click Chat to display the chat panel


Click the menu button (...) to display the chat options.

Resume the Recording


If you paused the recording, click the play button (triangle) to resume the recording.

Admit Your Participants


Go to the Participants option and uncheck Enable Waiting Room.


Go to the top of the Participants panel and click Admit All. Your attendees are now in the Meeting.

Your event has now commenced.
